Terms & Conditions

When booking with Bizzy Kidz Club, these Terms and Conditions and the Policies and Procedure documents define the agreement between us.

Age of Children

We only accept children who have started Reception and those up to the age of 11 years old. Children outside of this are not able to attend the club.

Bookings

All bookings must be made online using the IPAL booking system. To do this, need to do the following:

  1. Register an account on IPAL

  2. Add your child /children to the account

  3. Book the days you require.

 

Payment is due at the time of booking and receipt of this establishes acceptance of these terms and conditions.

Payments

Bizzy Kidz Club accepts payment by card, childcare vouchers and via tax-free childcare accounts.

 

Paying Via Your Tax-Free Childcare (TFC) Account

To pay via your TFC account, you need to do the following before making your booking on IPAL:

  1. Make sure your TFC account has enough funds before you book.

  2. Ensure Bizzy Kidz Club (Frome Vale Academy) is linked to your account.

 

 

Changing your booking

If you give us 48 hours or more notice, you can change the day/s you wish to attend subject to availability, free of charge. If you give us less than 48 hours’ notice, we will endeavour to change your dates but this may not be possible.

 

Cancellations & Refunds

 

We understand that plans can change. Our cancellation policy is as follows:

  • More than 14 days before your booking: Full refund or credit towards a future club.

  • 7-14 days before your booking: 50% refund or full credit towards a future club.

  • Less than 7 days before your booking: No refunds, but credit may be given in exceptional cases.

 

If your child is unwell, please inform us as soon as possible. We may be able to transfer your booking to another date, depending on availability.

 

Special Needs & Additional Support

 

We aim to be as inclusive as possible. If your child has additional needs, please contact us before booking to discuss how we can best accommodate them. If your child requires a 1-1 support in a school-based setting or attends a setting with very low ratios, we require a 1-1 at club for safety reasons.

If your child has additional needs and you do not inform us prior to your booking, we reserve the right to ask the parent/carer to come and collect their child. No refund will be available.

All children attending holiday clubs, irrespective of age, are expected to use the toilet independently. Bizzy Kidz Club staff are not expected to wipe, change nappies or assist children with toileting. We are aware that accidents can occasionally happen, and we will help the children when required to do so. If this a regular occurrence, parents will be contacted about a plan of action going forward.

Allergies & Medical Needs

We take allergies and medical needs very seriously. Please inform us at the time of booking so we can make necessary accommodations. If your child requires medication (e.g., inhalers, EpiPens), please provide clear instructions for our staff in the additional medical tab of your account. This information need to be in the section labelled Mild, Moderate, Severe for it to be seen by staff on the register.

 

Child Exclusion

Bizzy Kidz Club has a responsibility for ensuring the well-being and safety of all children in our care and has a clear behaviour policy to manage this. We have a zero-tolerance policy on discrimination, bullying and persistent poor behaviour of any kind, irrespective of any special needs. On rare occasions, and in more serious cases, we reserve the right to ask parents to remove children from the setting either for the remainder of the day (part exclusion), or for the rest of the season (full exclusion). No refund will be made for any remaining days booked, and any costs associated with the exclusion will be the parents’ responsibility. We reserve the right to exclude a child at any time prior to or during a session due to illness. The parent/carer will be expected to come and collect their child.

 

Late Pick-up

All children MUST be collected by 5pm. If for any reason you are unable to collect by 5pm, we ask that you call the club. Two members of staff will wait with your child until they are collected. You may be charged a late pick-up fee of £8 for every 15 minutes after 5pm to cover the additional staffing cost.

If we are unable to contact you, we will phone the emergency contacts.

If we have no contact from a parent/carer by 6pm, we will contact Social Services or First Response (depending on the time of day) to advise them we have an uncollected child.

We reserve the right to refuse future bookings from parents who continually pick up late.

 

Notice of Absence

If a child is not attending a booked day, parents/carers must telephone or email to allow us to update records.

 

Programme & Activities

Activity programmes are subject to change in the event of unsuitable weather or other circumstances beyond our control.

 

Personal Property

All your child’s personal property is your responsibility and Bizzy Kidz Club is not liable for any lost or damaged property at the club. If you believe that your child has left an item at the club, please contact us and we will do our best to assist you. Lost property will be kept for 14 days once the club has finished, after which items will be donated to charity.

 

Mobile Phones and Electronic Devices

All mobile phones and electrical devices are prohibited at the club. If found, children will be asked to give the device to the manager, who will keep it secure for the rest of the session. The device will be returned to the authorised parent/carer at pick up.

Insurance

All children in our care are covered by our Public Liability Insurance.

Photography / Filming / Media

Please be aware that Bizzy Kidz Club take photographs/video footage of children at the club for promotional reasons. Photos and filming can be posted on social media so you’re aware what your children are up to throughout the day. This will only be done with your permission. We shall seek permission by gaining consent when you complete your booking online. You do not need to allow permission.

Complaints

If you have concerns or suggestions, please read and follow complaints procedure policy.

 

Safeguarding

Bizzy Kidz Club has legal obligations in relation to safeguarding and any suggestion of child abuse or neglect will be investigated and reported to our regulator, Ofsted, or relevant local authorities and agencies.

Data Protection

To process your booking, we need to collect personal details about you and your children. We will treat it as confidential and keep it secure, complying with all relevant UK legislation. We will use your email address and telephone number to contact you with information that relates to any bookings that you make and any information that we might need that relates to the welfare of your child. We would also like to use some of your details to tell you about our upcoming clubs. To stop receiving the emails please email bizzykidzclub@hotmail.com and request to be removed or unsubscribe once an email has been received.
